What Is Landed Cost? Formula, Components and How to Calculate It

Landed cost is the total cost of getting a product from your supplier to your door, ready to sell: the product price plus shipping, customs duties and taxes, insurance and the overhead of handling it. The formula is Landed Cost = Product Cost + Shipping + Customs + Insurance + Overhead. It is the real number you need to price against, because the sticker price your supplier quotes is almost never what a unit actually costs you.
Sellers who price off the supplier invoice alone quietly lose margin on every order. A $4 unit can easily land at $11 once freight, duty and handling are counted. Here is what landed cost includes, how to calculate it per unit, and why getting it right per SKU changes which products are actually worth stocking.
What is landed cost?
Landed cost is the sum of every expense required to move a product from the point of manufacture into your warehouse and make it sellable. It answers a simple question that trips up a lot of businesses: what does one unit of this really cost me, all in? The product cost is only the starting point. By the time a shipment clears customs and reaches your shelf, freight, duties, insurance and handling have all been added on top, and those add-ons are often a large share of the total.
The landed cost formula
The standard formula breaks the total into five buckets:
Landed Cost = Product Cost + Shipping + Customs + Insurance + Overhead

How to calculate landed cost: a worked example
The clean way to do it is per unit, so you can compare products fairly. Take a shipment of 1,000 units. The supplier charges $4 a unit, so product cost is $4,000. Ocean freight and delivery to the warehouse cost $1,000, or $1 a unit. Duty at 4 percent adds $160, roughly $0.16 a unit. Cargo insurance is $50, or $0.05. Add $300 of receiving labor, payment fees and currency conversion, which is $0.30 a unit. Total landed cost is $5,510 for the shipment, or $5.51 a unit. That is 38 percent more than the $4 sticker price, and it is the number you must beat when you set your selling price.
Do this per SKU, not once for the whole order. A heavy or bulky item eats far more freight per dollar of product than a small one, so a flat percentage markup spread across the shipment hides which products are actually profitable and which are barely breaking even.
Why landed cost matters more than the supplier price
Two products can have the same supplier price and wildly different landed costs once you count freight and duty. Price both off the invoice and you will overprice the cheap-to-ship item and lose money on the expensive one. Landed cost is also what feeds an honest gross margin: your margin is the selling price minus the landed cost, not minus the supplier price. Retailers who skip this step think they are running 40 percent margins and discover at year end they were closer to 20.
It matters for sourcing decisions too. A supplier overseas may quote a lower unit price than a domestic one, but once ocean freight, duty and the cash tied up during a six-week lead time are counted, the "cheaper" supplier can land more expensive. Landed cost is how you compare them on equal terms.
Where landed cost shows up in your books
For accounting, landed cost is capitalized into the value of the inventory rather than expensed right away. The freight, duty and handling get added to the cost of the goods on the balance sheet, and they flow into cost of goods sold only when the item sells. That keeps your inventory value and your margins honest. Most of these costs arrive as separate invoices and card charges from freight forwarders, customs brokers and suppliers, so a chunk of the work is simply pulling those numbers together. When the supplier and freight payments hit your bank feed, getting them into QuickBooks cleanly is its own small chore, and doing it promptly keeps the landed cost you record accurate.
How landed cost connects to reordering
Once you know the true landed cost per SKU, two things get sharper. First, your order quantities improve, because the real holding and ordering costs are now visible. Second, your dead-stock math gets honest: a slow mover is tying up its full landed cost, not just its supplier price, so clearing it frees more cash than you thought.
