Can I use my phone as an inventory barcode scanner?
Yes. Modern phone cameras read UPC, Code 128 and QR codes reliably through an inventory app, and for a few dozen scans a day a phone is genuinely enough. The trade-off is speed: a dedicated Bluetooth scanner reads in a fraction of a second every time, which matters once someone scans hundreds of items in a session.
How does barcode inventory management work?
Every item and location carries a barcode. Each stock movement (receiving, sale, transfer, count, write-off) is recorded by scanning the item, so the software always knows quantity per SKU per location in real time. The scan replaces typing, which removes transcription errors, and the timestamped movement log gives you the demand history that forecasting runs on.
Do I need to create my own barcodes for inventory?
Only for items that do not already have one. Retail products carry a manufacturer UPC you can use as-is. For raw materials, house-made products or internal bins, print your own labels; Code 128 for compact one-dimensional codes, or QR when you want phone-friendly scanning. You only need to buy a GS1 UPC prefix if you sell through retailers or marketplaces that require registered codes.
What is the difference between barcode and QR code inventory systems?
A traditional barcode (UPC, Code 128) encodes a short ID and needs a line-of-sight laser or camera read; a QR code holds more data, scans from any angle, and reads especially well on phone cameras. For inventory the difference is mostly hardware: laser scanners are fastest on 1D barcodes, phones are happiest on QR. Good software reads both, so pick per workflow rather than per religion.
